What Clients Said

I came in with a plastic bag of loose papers. I was not sure what was missing and what was there. By the end of the session everything was in a proper folder with a list of three things I had to do next. That clarity was what I needed — I had been putting off dealing with these documents for months because I did not know where to start.

My submission was returned twice because of the name on my IC not matching an older employment record. The form completion block went through every document methodically. They found two other inconsistencies I had not noticed. The submission sets they prepared were clean and everything matched. The process took four weeks as described.

We signed the maintenance agreement after my husband's initial review session. He travels frequently and having someone keep the file updated between his trips has removed a significant source of concern. The quarterly reviews are efficient — we receive a summary of what was updated at each one.

The written scope statement they give you at the start was something I appreciated. It made clear exactly what they were doing and what they were not. For anything that fell outside that, the action slip named the type of professional to see. That honesty about the boundaries of the service made me trust the process more.

I am not comfortable with paperwork and had accumulated correspondence over several years without filing any of it properly. The team were patient and did not make me feel embarrassed about the state of the folder I brought in. The priority appointment when I had an urgent letter from an office was handled within two days.

The form completion block was more thorough than I expected. They checked the bank account number against three different documents and found that an old passbook number was still on one of the forms. That kind of detail I would have missed. I would have preferred slightly more explanation of each step as we went, but the output was exactly what was described.

WINDOW 03 — CASE ACCOUNTS

Three Detailed Accounts

Names changed for privacy. Details reflect the actual structure of sessions at Vantridge.

CASE 01

Returned Submission Due to Name Mismatch

The Situation

A retired government officer's submission was returned after six weeks because the name on his IC differed slightly from the name on a form completed at the point of employment. He had tried to correct it twice but the resubmissions were still returned for additional documents he had not included.

What the Block Covered

The Form Completion Block traced the mismatch to three separate documents and identified a second inconsistency in the bank account number. All forms were corrected and the submission set was assembled in the order the office had specified in its most recent return letter.

Outcome

The corrected submission was accepted on the first attempt. The cross-check report was retained in the client file. The client returned four months later for the review session to check documentation for a separate matter. Duration of block: 4 weeks.

"I had spent the better part of a year on this. Four weeks at Vantridge and it was done." — Client, retired, Shah Alam
CASE 02

File Maintenance Through an Extended Travel Period

The Situation

A client who spent extended periods abroad on family matters was concerned that correspondence from pension-related offices would arrive in her absence and require responses with short deadlines she would not be able to meet.

What the Agreement Covered

The maintenance agreement arranged for her correspondence to be held, registered and summarised at each quarterly review. On two occasions, offices sent requests that required documents within three weeks; both were handled under the priority appointment provision.

Outcome

Both time-sensitive requests were addressed without delay. At the 12-month review, the rolling correspondence register showed eight items filed since the agreement started. The client renewed for a second year. No submission was missed during the agreement period.

"Having one place that keeps the file current while I am away has removed a significant concern." — Client, Shah Alam
CASE 03

First-Time Review Before Initial Submission

The Situation

A client approaching retirement had collected her documents over several months but was not confident she had everything required. She was particularly concerned about documents from an earlier period of service with a different employer.

What the Review Covered

The 60-minute review session sorted everything she brought and identified two forms that were missing entirely and one form that needed to be re-obtained from a former employer. The action slip named the office contact for each missing item in sequence.

Outcome

The client returned with the two additional forms six weeks later and booked a Form Completion Block to prepare the full submission set. The initial review session identified the gap before submission rather than after, saving a potential return and additional waiting time.

"The session told me exactly what was missing. I knew what to get and in what order." — Client, Klang
