Cross-Document Name and Date Verification

All names, identity numbers and dates are compared across every document in the set. Mismatches between an IC, a bank record and a submission form are the most common cause of returned submissions.

File That Remains Usable Over Years

Retirement paperwork does not end after the first submission. The maintenance agreement keeps your file current as new correspondence arrives and office requests come in years later.

Physical Storage with a Client-Held Duplicate

The master folder is stored at our premises under locked access. A full duplicate is prepared for the client. Neither copy becomes the single point of failure.

Counter Model Keeps Each Session Purposeful

The counter model is a deliberate structural choice. A counter has a window. That window has a defined set of things it handles. This creates clarity: you know what to bring, we know what we do with it, and the session ends with a concrete output rather than an open-ended discussion.

This structure also makes it possible to estimate how many appointments a matter will require, which affects pricing transparency.

Fixed-Scope Fees at Each Tier

Each service at Vantridge has a defined scope and a corresponding fee. A single review session is RM 480. The Form Completion Support Block covering four appointments is RM 1,560. The Two-Year Records Maintenance Agreement is RM 4,050 for 24 months including quarterly reviews and all storage.

Scope is stated in writing before each session begins so there are no ambiguous additions to the fee.

Counter Slip Issued at Every Appointment

No verbal-only session outcomes. Every counter appointment produces a physical written slip that states what was covered, what was found and what the next three steps are. The slip is retained in the counter register and in the client file simultaneously.

Priority Scheduling for Short-Deadline Requests

Maintenance agreement clients who receive an office request with a short deadline can access a priority counter appointment rather than waiting for the next available slot. This is built into the agreement, not offered as a paid add-on.

Full Archive Handover at Maintenance Term End

At the end of a Two-Year Records Maintenance Agreement, a complete archive of the client file — including the correspondence register, copies of all prepared submissions and a full document index — is handed over in an organised folder rather than simply returned in the state it arrived.

Structured for Returned Submissions

The Form Completion Support Block was designed specifically for people whose submissions were returned. Four appointments over four weeks provide enough time to trace the source of the mismatch, correct it across the full document set and prepare clean copies for resubmission.
