Every Vantridge appointment begins with a scope confirmation: we state in writing what the session covers and what it does not. This is not a formality — it ensures that the time is spent on document work rather than on questions that require a different kind of professional.
Each session type has a defined output. A review session ends with a sorted folder and a written action slip. A Form Completion Block ends with prepared submission sets and a cross-check report. A Maintenance Agreement keeps a file continuously updated with quarterly reviews confirming its current state.
Sessions are conducted at our counter in Shah Alam. Documents are handled physically. Nothing is submitted on your behalf; we prepare the materials you will submit at the relevant office.

Counter Session for Document Review
A walk-in style appointment reviewing whichever papers the client brings — sorting them into complete, incomplete and not needed, then issuing a written slip naming the next three actions in order. Suited to people who want one clear instruction rather than a long programme. Scope covers a 60-minute appointment.

Form Completion Support Block
A block of four appointments dedicated to completing administrative forms accurately in the client's own name, checking that names, dates and reference numbers match across every document, and preparing clean copies for submission. Suited to people whose earlier submissions were returned for mismatched details. Scope runs four weeks.

Two-Year Records Maintenance Agreement
An agreement that keeps a retirement file current after the first submissions are complete — covering annual review of statements, filing of new correspondence, updates when an address or bank detail changes, and preparation of fresh copies whenever an office requests them. Aimed at clients who want the file to remain usable years after it was built. Scope runs 24 months with quarterly reviews.

Standards Applied Across All Sessions
Physical Data Security
Documents are stored in locked physical storage. Digital records are limited to the session register. No client documents are transmitted electronically outside the agreed service scope.
Two-Pass Verification
All forms completed under the Form Completion Block are reviewed by a second staff member before copies are prepared. Reduces detail errors to below the level typical of single-reviewer processes.
Written Scope at Every Session
Out-of-scope matters are stated on the action slip at each appointment. Clients leave knowing exactly which matters require a qualified professional and what type of firm to approach.
Scheduled and On-Record Reviews
Quarterly reviews under the maintenance agreement are scheduled in advance and recorded. Missed appointments are rescheduled within the same quarter — not deferred indefinitely.
Indexed File Structure
All client files are organised with a consistent index structure so any document can be located quickly during an appointment or when a priority request arrives.
Counter Access Restriction
Access to each client file at the counter is restricted to the staff member assigned to that file. Files are not cross-referenced between clients.
